What happens every month
- Days 1 to 8. Bank and card feeds categorised against your agency's rulebook, receipts matched, carrier statements and trust activity reconciled, payroll entries posted from your provider's reports. Open items go to you in one email, not ten.
- Days 9 to 10. Derrek Space reviews the close against a fixed checklist: every reconciliation ties, nothing sits uncategorised, the balance sheet is read line by line, and any P&L line moving more than 20 percent or $1,000 gets a one line explanation.
- Day 12. You receive the package: P&L, balance sheet, trust reconciliation, commission reconciliation summary, and a one page commentary on what changed and why.
- Days 12 to 15. On the Review tier and above, a 30 minute call to walk through the numbers and the decisions they point to.
Late data from the agency moves the close date, not the fee. If a month is late, you will know why on day 8, not day 30.

Who does the work, and who is accountable
Derrek Space designs your chart of accounts, reviews every close, signs off every package, and takes every call. Day to day posting and reconciliation is done by Derrek or by bookkeeping staff he has trained and supervises, inside the Consultgenix QuickBooks Online Accountant firm.
Nobody on the team ever holds your bank credentials. Feeds are read only and connected by you. No one at Consultgenix has authority to move money, pay a bill, or run payroll. Access is granted through QuickBooks and removable by you in one click.

Questions owners ask before they switch
Do you file our taxes?
No. You keep your CPA. We deliver a clean, reconciled file your CPA can work from without a cleanup invoice, and we answer their questions directly during tax season.
Our books are eighteen months behind. Can you still take us?
Yes, after a scoped catch up. Onboarding covers three months. Beyond that, catch up is priced per month of history and completed before the monthly service starts, so you are never paying for a close on a file that does not reconcile.
Can we switch mid year?
Yes. Most switches happen for a 1 January start or in the first quarter. A mid year switch works the same way: we take over from the last reconciled month and carry the file forward.
What if we are not an insurance agency?
Owner led service businesses in South Florida with similar needs are welcome. The same tiers apply without the agency add on. Request a review and say what you run.
How long is the commitment?
Three months, then month to month with 30 days notice. If we are not earning the fee, you should be able to leave.
